TelaLex Legal Technologies LLC (“TelaLex,” “we,” “us,” or “our”) provides software that helps law firms and similar businesses answer and conduct inbound intake calls. This Privacy Policy explains how TelaLex handles personal information through telalex.ai, the TelaLex application, and the voice-intake service (collectively, the “Service”).
1. Whose information we handle
This Policy covers website visitors; personnel of organizations that evaluate, purchase, configure, or use the Service; and people who call a customer and interact with the Service. For caller information and customer-provided intake content, the customer generally determines why and how the information is processed. TelaLex generally acts as the customer’s service provider or processor. TelaLex acts for its own purposes when handling account, billing, security, website, and business-contact information.
2. Information we process
Website and business contacts
We may process names, work contact details, firm or organization, role, messages, form submissions, IP address, browser or device information, and interactions with the website. The marketing site must not be used to submit prospective-client matter facts.
Customer accounts and configuration
We may process account and authentication data, organization membership, support communications, billing or customer identifiers, telephone-number and transfer settings, case types, questionnaires, qualification rules, greetings, compliance language, and other customer configuration.
Calls and intake
To provide voice intake, the Service may process caller and dialed telephone numbers, call time, duration, provider identifiers, live call audio while transmitting and recognizing speech, transcripts, intake answers, summaries, qualification results, escalation state, related audit events, and sensitive matter information a caller chooses to provide.
Persistent audio recording is not part of the current private preview. If tenant call recording is offered in the future, this Policy will be updated and the applicable notice, consent, storage, access, retention, and deletion controls will be in place before that feature is enabled.
Customer knowledge and GitHub
If a customer uses knowledge features, we may process documents and text it provides for retrieval. If a customer connects GitHub, we may process installation and repository metadata, configuration snapshots, and documents placed in the designated knowledge folder. GitHub connection is optional and limited to repositories and permissions the customer authorizes.
Information from service providers
Payment, telephony, hosting, authentication, support, and integration providers may return transaction, delivery, account, error, or usage information needed to operate and secure the Service.
3. How we use information
- Provide, configure, support, and secure the Service.
- Transmit and transcribe speech, conduct customer-designed intake, apply customer qualification rules, and transfer or escalate calls.
- Retrieve customer-approved knowledge passages and defer when no supporting source is available.
- Authenticate users and enforce organization or tenant access.
- Provision dedicated customer data environments.
- Process billing and measure authorized usage once billing is launched.
- Respond to support, privacy, legal, and security requests.
- Detect, investigate, and prevent abuse or security incidents.
- Monitor reliability, improve the Service, comply with law, and enforce agreements.
TelaLex does not use Customer Content, caller transcripts, or intake answers to train a publicly available TelaLex model. Our AI subprocessors are engaged under terms that restrict their use of this data to providing services to TelaLex and its customers.
4. AI-assisted processing
The Service uses providers for speech recognition, speech synthesis, conversational processing, and qualification. Relevant audio, text, or intake context may be sent to those providers to perform the requested function. AI-generated transcripts, summaries, and qualification results can be inaccurate. Customers are responsible for human review and decisions about whether to accept, decline, or follow up on a matter.
5. Text messaging (SMS)
With your consent, we — or a law firm using TelaLex — may send text messages to the phone number you provide: for example, a secure link to start, continue, or review your consultation, status updates about your intake or documents, or replies to questions you text us. Consent to receive text messages is never a condition of purchasing any goods or services.
- Message frequency varies, and message and data rates may apply.
- Reply STOP at any time to opt out of further messages (we may send one final message confirming your opt-out). Reply HELP for help, or contact us using the details in the Contact section below.
- No mobile information will be shared with third parties or affiliates for marketing or promotional purposes. Text-messaging originator opt-in data and consent are not shared with any third parties, except with service providers acting on our behalf strictly as necessary to deliver messages.
6. How we disclose information
We may disclose information to the customer for whom a call or account is handled; to subprocessors under applicable restrictions; at the customer’s direction; when reasonably necessary to comply with law or valid process; to protect rights, safety, and service security; or in a corporate transaction subject to applicable requirements.
TelaLex does not sell personal information. If a future use of website analytics or advertising is determined to constitute sharing, targeted advertising, or another regulated disclosure under applicable law, we will update this Policy and provide any required notices and opt-out choices before doing so.
7. Data isolation and security
TelaLex provisions a dedicated, isolated database environment for each customer’s intake data and uses tenant-scoped access, managed secrets, and audit records. Data is encrypted in transit and at rest. No security measure is perfect, and we cannot guarantee absolute security.
8. Retention and deletion
TelaLex retains information only for legitimate business, contractual, security, and legal purposes. Customer Content and caller records are retained according to the applicable agreement and documented settings. Transcripts, intake records, audit events, knowledge documents, logs, and backups are kept only as long as needed for these purposes and are then deleted or de-identified. Customers may request export or deletion of their data as described in their agreement.
9. Cookies and website choices
The website and application may use cookies or similar storage for authentication, security, preferences, and measured site operation. Public policy and consent controls must match the exact Webflow, analytics, form, and application configuration used at launch.
10. Privacy rights and requests
Depending on location, a person may have rights to access, correct, delete, obtain a copy, object, or restrict processing. Callers should normally contact the firm they called because that firm controls the intake. TelaLex will assist customers with verified requests as required. 11. Children
The Service is offered to organizations and is not directed to children. Customers are responsible for determining whether their intake may involve a minor and for configuring lawful notices, consent, and handling.
12. International processing
TelaLex is based in the United States, and information we process is stored and handled in the United States. Where an international transfer mechanism is required, TelaLex and the customer will put the required contractual and operational safeguards in place before such transfers occur. Data residency commitments, where offered, are stated in the applicable order and configuration.
13. Changes
We may update this Policy and will post a revised version with a new effective date and provide additional notice where required.
